End Point Assessment Cancellation

Cancellation

Where it is necessary for the customer or ETC Awards Limited to cancel EPA(s) following a confirmed EPA date, a charge may apply.

We will only apply the charge(s) to confirmed bookings when agreed dates are in place.

Cancellations during the EPA

If EPA is cancelled or re-scheduled within 7 working days of the first EPA event, we will charge 40% of the full EPA Fee. If the 20% gateway payment has been processed, then a further 20% of the total cost of the EPA will be invoiced.

Once gateway has been approved and the gateway payment has been made if the EPA is then cancelled, then the gateway payment will be non-refundable.

 We recognise that there may be exceptional circumstances that prevent the EPA from taking place at the agreed time/date, in these situations we will provide reasonable consideration to each case.

Where a concern is raised which may result in the rescheduling or cancellation of an EPA, the Independent End Point Assessor will contact the Operations Support team in the first instance.

The rescheduling or cancellation of an EPA will be at the discretion of the Operations Support team.

The Operations Support team will inform the customer and the Independent End Point Assessor of their decision as soon as practicable.

Note examples of when an EPA may be cancelled or rescheduled include (this is a non- exhaustive list):

  • No access to required systems;
  • Required resources/materials not being present at the EPA Site;
  • Health and safety concerns;
  • Concerns over validity/identity of Apprentice;
  • Apprentice absence;
  • Apprentice being unable to continue with the EPA. For example, identification of malpractice

It may be that any issues that arise including those listed above, can be resolved on the day to enable the EPA to continue.

Where this occurs the Operations Support team will confirm to the Independent End point Assessor that the EPA is still able to take place.

Cancellations by ETC Awards Limited

If ETC Awards Limited cancels the EPA, including where the customer has not fulfilled the agreed preassessment requirements, ETC Awards will:

  • Inform the customer prior to the date of the EPA; and
  • Contact the customer to discuss the cancellation and/or rescheduling of the EPA.

If ETC Awards Limited is required to reschedule an EPA date that has already been confirmed, the customer will be provided with alternative date(s) for consideration.
